Core Features

For Law Practice Management Software, the following are essential features, and you should therefore expect to see a check in every box in this section.


Case/Matter Management

Matter management is the defining feature of law practice management software, of course. However, some software is targeted at specific practice areas and may implement case management in different ways in order to manage information specific to those practice areas.

Client/Contact Management

Managing clients and other contacts is a core feature of law practice management software.

Task Management

Basic task management includes creating tasks with due dates that can be associated with cases/matters and assigned to different lawyers. Some products stick to pretty basic task management, while others offer enough features to make any Getting Things Done devotee happy.


As with email, this feature means a full calendar client, not just an integration with Outlook or Google Calendar.


Timekeeping is a core feature of practice management software, essential for lawyers who bill by the hour but useful even for those who don't.

Conflict Checking

An actual conflict checker is more than just a search box. This applies to software that actually has a conflict checking feature. Implementation varies, but at a minimum you should be able to search the entire database for matching names. It should check for conflicts accurately and intuitively, allow for a lateral hire to input their conflict database into the system, work quickly when new clients call, and comply with the rules of professional conduct for checking conflicts.

Email Client

Does it include a full email client? (Alternative solutions that don't amount to an email client, like plugins for Outlook or Gmail, do not earn a check for this feature. See software integrations, below.))

Text Messaging

Can you send and receive text messages and associate them with your matters?

Document Management

Basic document management allows you to add documents and associate them with your cases/matters.

Document Assembly

Loading your firm’s document templates into your law practice management software can save time and ensure consistency. This check means basic document assembly suitable for form letters, invoices, etc. For advanced document assembly, you’ll probably need additional software.

Secure Client Portal

Does the provider have a way for your client to interact with you or their information in the system? This can take many forms. It can be a way to securely view and pay bills, a method of scheduling meetings, or a way for your client to view information about their case itself.

Basic Bookkeeping

This means basic checkbook register–style bookkeeping, which is more limited than full accounting. You should be able to keep track of your operating accounts and reconcile your balances, but you may still need full accounting software.

Trust Accounting

This means you can track your client trust accounts, including expenses and payments. It is normal to see trust accounting without basic bookkeeping or full accounting, in which case you will need something else for accounting.

Full Accounting

Some software includes full double-entry accounting features, making additional accounting software unnecessary.

Billing & Invoicing

Does the software allow you to send bills or invoices?

Online Payments

Payment processing is increasingly offered either as an included or add-on feature, especially with cloud-based law practice management software.

Open API

An Open application programing interface (API) allows other software programs to interact with the platform. It allows users to build integrations where there might not currently be one. However, not all APIs are equal. If you are looking to integrate using an API, it's advisable to review the platform's documentation before making a decision.

“Excellent Legal Management Software, especially for a small or start-up law firm!”

Our firm compared many legal management software programs before we decided to go with Zola Suite. In fact, Zola Suite and Clio were our top two contenders. For a start-up solo practitioner, I must say that Zola Suite is the best choice for us. Our firm needed a program that will not only allow us to bill more efficiently, to invoice more efficiently, but also we need basic accounting capabilities to help us re-conciliate with our trust accounts, while making tax reporting much more at ease. We do not have a lot of man power as a small start-up; therefore, a good software needs to take on the roles as our accounting department, billing and admin. departments, etc. We find Zola Suite a great addition to our firm! Its readily available and awesome technical support team as well as the functions of the software i.e. ease of time tracking, billing, etc. allow our practice to run much more efficiently and smoothly. It has saved our firm a lot of time in time tracking, billing, and managing the law practice. Zola Suite is also constantly improving. Its network has been upgraded and performs at a much faster speed. Its client portal is a great way to share documents with clients. I wish its calendaring system and billing system can be further improved though i.e. calendaring system shall include US Federal/Court holidays; and billing system should allow reminder of overdue bills and auto calculating of overdue penalties/interests. Zola Suite's email system is wonderful as it always asks if you wish to bill for the time reviewing an email and it starts timing right away and automatically when you respond to or compose an email for a case. Also, our firm uses Google Workspace and I must say Zola Suite's email system works quite well with Google Workspace's email system. The only thing I would recommend Zola Suite to improve in this aspect is that its email system needs to be more stable, error free, and it must work more continuously and more consistently and smoothly as we rely heavily on the email system each day. I must say that I have experienced a few downtime and problems with the ZS email system a little bit more often than I have liked. Other than the above-mentioned little glitches here and there, I must say that Zola Suite's awesome customer support team is a must! They are the reason we continue to use and enjoy Zola Suite. ZS's awesome technical support team makes each obstacle/glitches bearable and worry-free! I find Zola Suite to be economical and worth the price. I highly recommend Zola Suite to solo practitioners and start-up law firms!

“Great Program!”

Zola Suite is a fantastic program! After almost 20 years of using the same practice management and billing software, we made the switch to Zola Suite and we couldn't be happier. It's saving us time that we didn't know we were wasting before. It was slightly more expensive per year than what we were currently using but we can work remote with all the ease of working in our office, I can do billing and accounting whenever and wherever, I can easily see what my associates are up to, and all of my client information is right there at the tip of my fingers at all times. They even have a delightful mobile app that works seamlessly. It was worth every penny. The onboarding and support team is out of this world! They are available for all questions, concerns, and issues. They provide useful tips and really go out of their way to make sure that you are satisfied with the answer that you receive. I would recommend Zola Suite to all!

“Super Tool”

In 2017 I decided to go solo with my law practice. When I made that decision I knew that I would need a good practice management system to make the transition and thrive. Zola Suites has been everything I need in a practice management system, and I am particularly happy with the integrated accounting function. The get up to speed was not difficult, and was made easy by Zola's onboarding assistance. As I continued to use Zola, I started to use more features and I found them intuitive. During Covid I have been practicing from multiple locations without a hitch. Everything I need is just a click away, click away... ( is that Mick Jagger). The support provided by Zola is superb. Actually, all the reviews raved about Zola support before I signed on, and what they all said is so true. You deal with real humans, who are knowledgeable and respond to your request for help within a reasonable amount of time, frequently same.

“ZolaSuite is the Best in the Biz”

ZolaSuite is the best in the business. It has the most features and the high end package has everything plus with my bar discount is ridiculously cheap. The package is easy to use and training and support is always there. During the sales process the rep was very patient and accessible. Zola also has ZolaCreative a marketing platform law firms , which,, even Marne the praise of a competitor. You can’t beatZolaSuute, I tried, it is everything it says it is and more

“Everything in One Place”

We love Zola Suite. This web based program literally allows us to keep everything in one place. We maintain all of our client files and billing in Zola. Pros: * Web based platform allows me to log in on my work computer or if I am on the go. And, Zola's app is great too. * Files are all kept in one place. Within each Matter you can keep contact information, calendar, time, expenses, communications, emails, notes, documents, tasks etc. * Streamlined time and expense keeping. Invoicing is simple! You can bill hourly or by flat fee. Invoices are customizable. We use various templates for different practice areas depending on billing type. * Easy document storage within the Matter. Simply drag and drop to save within the Matter. * Users are customizable too. You can give administrative privileges or simply the ability to input data. * Unique search features - you can do a global search or search within a feature (calendar, Matter, contacts, email, time keeping, accounting, etc.) * Calendar provides for one time or recurring events. You can assign it to one or multiple calendars and you can customize reminders. So handy! * Set up contacts as individual or business. And, the information you gather is customizable. * Zola provides plugins for Outlook and Word. * Amazing customer support. From webinars to YouTube videos to emails to one-on-one support we have always had our questions answered. * Zola is always looking for ways to improve. They listen to suggestions. Cons * Not a fan of the integrated email. However, there has been a recent announcement that there are changes coming. I attended a webinar that showed some of the features and am looking forward to what is new. Also, Zola offers an Outlook plug in so we currently use Outlook. * I am a color coder so I would love as an administrator for my Google calendar to be able to sync with all users, not just mine. Or, be able to send out a Google Meet link when you are setting up an appointment on the Zola calendar. * Would still like to see some ability to customize printed checks. For example, I would prefer a way to customize size of font on Payee address so that when you are using a #10 envelope with window the address is larger and easier to read. It is so small you can see the memo line. We highly recommend Zola Suite!

“Zola Suite Review”

Our firm has been using Zola Suite for about 4 months now and are pleased with the software. Overall Zola is much more user friendly than the former software we were using. Since Zola is cloud based, we can access it from anywhere. It took no time to get used to the layout of the applications and navigating the software. Entering time is much easer and less time is missed because of the time entry prompts as well as being able to enter time anywhere, on a desktop, laptop or smart phone. The help screen covers any question you would have navigating thru the system, so if you didn't take notes during the training, you can easily find answers to your questions. If you need assistance Zola's support is outstanding. You get a confirmation of your support request and a support person calls. Support can also perform a screen share with you to answer your questions while you are viewing your own screen, which gives you a better perspective. All in all, I'd say it's an excellent choice.

Where can I use Zola Suite?

The web application is built to be desktop and mobile responsive. So you should be able to use it with ease no matter which device you’re on. Alternatively, you can download apps for iOS and Android, if you are so inclined. What's more, as an added benefit, the mobile apps even have touch ID authentication, adding an extra layer of security.

What is the price of Zola Suite?

Zola Suite pricing starts at $59 per user/month for Core or, $79 and $89 per user per month (billed annually) for Enterprise and Enterprise Plus respectively.
Each pricing tier comes with free onboarding and training, as well as customer service, as often as you need. Zola also offers a 10-day free trial so you can see how it suits you and your practice before you buy.

Is Zola Suite secure?

Although no platform is immune to nefarious action, Zola, for its part, employs modern security methods to protect data both at-rest, and in-transit. They also offer two-factor authentication, which administrators should make sure all users are taking advantage of.

Does Zola Suite integrate with Microsoft 365?

Yes. Zola has two-way sync with Office 365 Calendar, which means you can set and edit events from either calendar. Additionally, a MS Word plugin allows users to integrate document management features such as tagging, versioning, and commenting. And, lastly, but certainly not least, it has an Outlook plugin that allows users to track time from Outlook, save emails directly into Zola, and attach documents from Zola directly to outbound messages.

Does Zola Suite integrate with Google Workspace?

Yes. Zola has a real-time sync with Gmail, and a two-way sync with Google Calendar. Which means actions you take in either platform will be migrated to the other.

Can Zola Suite handle my Trust Accounting?

Zola can handle all but the most extreme trust accounting scenarios. It includes evergreen retainer capabilities, as well as split origination, and very thorough reporting.

Can I accept online payments with Zola Suite?

Yes. Zola Payments allows LawPay users to accept payments for retainers, or invoices via credit card, through the client portal.

Does Zola Suite integrate with Zapier?

No. At the time of this review, Zola Suite does not integrate with Zapier.

Can I automate documents with Zola Suite?

Yes. Although it is not a no-code application, Zola document automation is pretty powerful for a built-in solution. Additionally, with the MS Word plugin, it acts more like an on-premises solution than a cloud-based app.

Is Zola Suite compatible with both PC and Mac?

Yes, as a browser-based application, Zola is compatible with both PC and Mac computers. Additionally, users can access their data through native iOS and Android apps for mobile devices.
