Case/Matter Management

Matter management is the defining feature of law practice management software, of course. However, some software is targeted at specific practice areas and may implement case management in different ways in order to manage information specific to those practice areas.

Client/Contact Management

Managing clients and other contacts is a core feature of law practice management software.

Task Management

Basic task management includes creating tasks with due dates that can be associated with cases/matters and assigned to different lawyers. Some products stick to pretty basic task management, while others offer enough features to make any Getting Things Done devotee happy.

Calendar

As with email, this feature means a full calendar client, not just an integration with Outlook or Google Calendar.

Timekeeping

Timekeeping is a core feature of practice management software, essential for lawyers who bill by the hour but useful even for those who don't.

Conflict Checking

An actual conflict checker is more than just a search box. This applies to software that actually has a conflict checking feature. Implementation varies, but at a minimum you should be able to search the entire database for matching names. It should check for conflicts accurately and intuitively, allow for a lateral hire to input their conflict database into the system, work quickly when new clients call, and comply with the rules of professional conduct for checking conflicts.

Email Client

Does it include a full email client? (Alternative solutions that don't amount to an email client, like plugins for Outlook or Gmail, do not earn a check for this feature. See software integrations, below.))

Text Messaging

Can you send and receive text messages and associate them with your matters?

Document Management

Basic document management allows you to add documents and associate them with your cases/matters.

Document Assembly

Loading your firm’s document templates into your law practice management software can save time and ensure consistency. This check means basic document assembly suitable for form letters, invoices, etc. For advanced document assembly, you’ll probably need additional software.

Secure Client Portal

Basic Bookkeeping

This means basic checkbook register–style bookkeeping, which is more limited than full accounting. You should be able to keep track of your operating accounts and reconcile your balances, but you may still need full accounting software.

Trust Accounting

This means you can track your client trust accounts, including expenses and payments. It is normal to see trust accounting without basic bookkeeping or full accounting, in which case you will need something else for accounting.

Full Accounting

Some software includes full double-entry accounting features, making additional accounting software unnecessary.

Billing & Invoicing

Does the software allow you to send bills or invoices?

Online Payments

Payment processing is increasingly offered either as an included or add-on feature, especially with cloud-based law practice management software.

“Big Firm Software Functionality for a Reasonable Price”

After looking far and wide for practice management software, Zola was the answer we were looking for with its seamless integration with Gmail and Google Calendar. The task management and deadline tracking with email and SMS alerts is very intuitive and a lifesaver on a daily basis.

“No two factor authentication makes this a “no””

From a software standpoint, Zola Suite is very good. But in 2018, lack of two factor authentication should be disqualifying.

“Zola does it all”

I'm very impressed by Zola, it seems to do anything and everything you could want from case management software. I like the email client and the app is fantastic. It looks like they're about to raise their rates a bit, so watch out for that. I wouldn't hesitate to recommend this product to any law firm searching for a case management solution.

I love Zola. It’s the best way to keep up with our client load and add organization to our work environment. It provides the ability to keep up with all aspects of the company and what needs to happen with a clients case.

“Everything I was looking for”

ZolaSuite has every function I was looking for in a client management software - and more that I didn't know I wanted! I love that it syncs with my outlook and saves emails to clients in their folders. I love that it offers email encryption without another program being required. I love that it tracks my referral sources. It's even better than what I would have designed to fit my needs. Love it.

Where can I use Zola Suite?

The web application is built to be desktop and mobile responsive. So you should be able to use it with ease no matter which device you’re on. Alternatively, you can download apps for iOS and Android, if you are so inclined. What's more, as an added benefit, the mobile apps even have touch ID authentication, adding an extra layer of security.

What is the price of Zola Suite?

Zola Suite pricing starts at $59 per user/month for Core or, $79 and $89 per user per month (billed annually) for Enterprise and Enterprise Plus respectively.
Each pricing tier comes with free onboarding and training, as well as customer service, as often as you need. Zola also offers a 10-day free trial so you can see how it suits you and your practice before you buy.

Is Zola Suite secure?

Although no platform is immune to nefarious action, Zola, for its part, employs modern security methods to protect data both at-rest, and in-transit. They also offer two-factor authentication, which administrators should make sure all users are taking advantage of.

Does Zola Suite integrate with Microsoft 365?

Yes. Zola has two-way sync with Office 365 Calendar, which means you can set and edit events from either calendar. Additionally, a MS Word plugin allows users to integrate document management features such as tagging, versioning, and commenting. And, lastly, but certainly not least, it has an Outlook plugin that allows users to track time from Outlook, save emails directly into Zola, and attach documents from Zola directly to outbound messages.

Does Zola Suite integrate with Google Workspace?

Yes. Zola has a real-time sync with Gmail, and a two-way sync with Google Calendar. Which means actions you take in either platform will be migrated to the other.

Can Zola Suite handle my Trust Accounting?

Zola can handle all but the most extreme trust accounting scenarios. It includes evergreen retainer capabilities, as well as split origination, and very thorough reporting.

Can I accept online payments with Zola Suite?

Yes. Zola Payments allows LawPay users to accept payments for retainers, or invoices via credit card, through the client portal.

Does Zola Suite integrate with Zapier?

No. At the time of this review, Zola Suite does not integrate with Zapier.

Can I automate documents with Zola Suite?

Yes. Although it is not a no-code application, Zola document automation is pretty powerful for a built-in solution. Additionally, with the MS Word plugin, it acts more like an on-premises solution than a cloud-based app.

Is Zola Suite compatible with both PC and Mac?

Yes, as a browser-based application, Zola is compatible with both PC and Mac computers. Additionally, users can access their data through native iOS and Android apps for mobile devices.

Document Management. Zola’s document management features include a version control system, which allows for commenting per document and version. It also provides for secure document sharing through its portal, one-click emailing, easy to use folder hierarchies, and more.

Free Onboarding and Training. If you’re nervous about transitioning your firm to a new LPMS platform, you can rest a little easier with Zola Suite. They provide unlimited free training and onboarding at any pricing tier. Although it’s not always easy to find time to set-up your system, you should always be able to find help.
