Posh Virtual Receptionists offers 24/7/365 answering service for small to medium-sized law firms across the Country. Their bi-lingual answering service can route calls, forward messages (via text, email, or their app), qualify potential new clients (PNCs), and even make outbound calls based on intake forms on your website. They can use your existing business number, or you can be assigned a new one. You can even make outbound business text messages.

Who Posh Virtual Receptionists Services is For

Posh is for attorneys who want to streamline their client intake, and handover their receptionists duties on a permanent, or semi-permanent basis. Attorneys who have a documented process for screening PNCs, onboarding new clients, and handling diverse calls that come into their office will likely see the most benefit. However, using the reports in Posh’s app could likely help a firm streamline even more.

Alternatively, they are likely not the right solution for a solo attorney who is simply trying to hand-off his or her intake during court, or who is looking for more of a Virtual Assistant. Although Posh can handle both of these things, their strength comes from letting attorneys hand-over much of their intake and get time back in their day.

Virtual Receptionist Features
While all virtual receptionist services include a live receptionist and allow you to use your own phone number, some offer additional features like appointment scheduling or client intake. Availability varies, as well. Some virtual receptionists are available 24/7/365, while others are available during business hours (usually extended to accommodate multiple North American time zones) with voicemail outside of those hours.
Live Receptionist
Although they are called "virtual" receptionists, the person who answers the phone is, in fact, a real person who can use your customized greeting, request information according to your instructions, make warm transfers to you, or take messages.
Receptionist Hours
Appointment Scheduling
You can give your receptionist access to your calendar or scheduler so they can book appointments for you.
Client Intake
A virtual receptionist service can be a partner in your intake process rather than only and ask questions and gather information according to your intake script.
Outbound Calls
Some virtual receptionist services will make calls for you in order to relay basic information such as confirming an appointment, providing directions to your office, or making referrals.
Free Local or Toll-Free Phone Number
You may prefer to use a different phone number to help you track your callers, or a toll-free number to make it easier for some people to contact you.
Additional Languages
  • Spanish
Chat Features
There are two kinds of chat offerings: live chat and chatbots. Both can be hosted on your website so that visitors can contact your firm by typing rather than calling. Live chat means a real person is available to chat with visitors, like a virtual receptionist for text-based messaging. A chatbot, on the other hand, offers pre-scripted responses to visitors' input, sometimes with the help of AI.
Live Chat
We're using live chat to mean chat plus a team to respond to inquiries, as opposed to a chat tool you can use to respond yourself.
Live Chat Hours
Chat Tool
With a chat tool you can add a chat box to your website so that visitors can chat directly with you or your firm staff when you are available.
A chatbot is an automated messaging tool for automated communication with visitors to your website or within commonly used messaging apps like Facebook Messenger. Some are essentially a guided form, while others might use AI to answer more complex questions.
Phone Features
A hosted phone solution allows you to move your entire phone system to the cloud. It can also come with advanced call routing options, call recording, analytics, and more.
Call Routing
With call routing you can direct incoming calls based on criteria you set. For example, you could send existing clients directly to the lawyer handling their matter. Or distribute potential client calls evenly among intake staff. Or just send calls to your virtual receptionist after hours.
Voicemail Transcription
Your phone service can transcribe your voicemails using text recognition software so you can read your messages instead of listening to them.
Call Recording
"This call may be recorded for quality control purposes." Only if you want to, of course.
Call Analytics
Use information about your calls to identify patterns, calculate the ROI of your marketing efforts, and improve your client service.
Text Messaging
Send and receive text messages using your business phone system.

Additional Details about Posh Virtual Receptionists

Employee Owned

Posh Virtual Receptionists is 100% employee owned. This means that each receptionist that answers the phone on your behalf has a financial interest in the success of their company. And therefore, as a client, likely the success of yours.

Posh App & Portal

The virtual receptionists can send you messages through Posh’s mobile app, or you can use it as a softphone—turning your cell phone into a business number. Additionally, you can generate usage reports, edit your intake scripts, and perform loads of other admin tasks within the web portal. This is where you can view and control Posh’s answering services.

The Posh application’s list of integrations is well curated and constantly growing. Those who use many of the more popular Law Practice Management Systems (LPMS) will find direct integrations, as will many who use popular Client Resource Managers (CRM), or Scheduling systems. For those who can’t quite find the right connection, though, you may be able to rely on their Zapier partnership.

Although Posh doesn’t have a laundry list of Triggers, and Actions connected to Zapier, the ones they do have are likely all you need. However, if you find it somehow lacking, you may want to look at some of the other software that they directly integrate with.

Although Posh is not strictly a law firm virtual receptionist service, its app directly integrates with some of the more popular LPMS software. Including:

  • Clio,
  • RocketMatter, and
  • Zoho.

CRM & Scheduling

Most lawyers, however, will find the CRM and Scheduling system integrations more helpful for their streamlined client intake. To that end, Posh Virtual Receptionists’ app directly integrates with:

  • Acuity,
  • Calendly,
  • Google Calendar,
  • Salesforce, and
  • Setmore.

Outbound Calling

Lawyers who have a streamlined and documented intake system, generally don’t just rely on inbound phone calls to generate PNCs. Accordingly, Posh’s virtual receptionists services will handle contacting leads that come in through web portals, and other online forms. They will make an outbound call within minutes of receiving the request.
